Privacy policy
ZiaPixel Tools ("the app") is made by ZiaPixel LLC, a studio in Southern New Mexico ("ZiaPixel", "we", "us"). This policy explains what information the app collects, why, where it's kept and how you can have it deleted. We don't sell your information, show ads or track you across other companies' apps and websites.
What we collect

We don't collect your location, contacts, health data or payment information, and we don't use analytics or advertising software.
How we use it
- To provide the app: show your workspace, keep it in sync between your devices and teammates, and send notifications you've asked for.
- To transcribe recordings, write summaries, suggest tasks and answer questions about your projects.
- To keep your account secure, prevent abuse and fix problems.
- To reply when you contact us for support.
We don't use your content to train AI models that are offered to anyone outside your organization.
AI processing
Transcription, summaries, suggested tasks and assistant answers are produced by AI models running on GPU computers that ZiaPixel owns and operates. Your recordings, transcripts and project content are not sent to third-party AI services such as OpenAI, Anthropic or Google Gemini.
AI output can be wrong. Check summaries and suggested tasks before you rely on them.
Who we share it with
We share information only as needed to run the app:
- Your teammates. People you invite to a client or project can see the content in it.
- Google Firebase Authentication handles sign-in and stores your email address and sign-in details. Google processes this under its own Firebase privacy terms.
- Notification services. If you turn on notifications, a short message and a device token pass through Apple's or your browser's push service to reach your device.
- When the law requires it. We may disclose information to comply with a valid legal request or to protect people's safety.
Any service provider we use must protect your information at least as well as this policy does. We never sell or rent personal information.
Storage and security
Your workspace content, recordings and transcripts are stored on servers ZiaPixel operates in the United States. Connections to the app use HTTPS. Access is limited to signed-in members of each workspace and to ZiaPixel staff who need it to provide support. No system is perfectly secure, but we work to protect your information and will tell you if a breach affects you.
How long we keep it
We keep your account and workspace content while your account is active. Items you delete are removed from the app straight away and cleared from our backups within 30 days. Technical logs are kept for up to 90 days.
Delete your data
You can delete individual notes, recordings and projects in the app at any time. To delete your whole account and everything stored with it, email support@ziapixel.com from the address on your account with the subject "Delete my account". We confirm by email and complete the deletion within 30 days. Content you shared into a teammate's workspace stays in that workspace unless you ask us to remove it too.
You can also ask us for a copy of your information, or to correct it, at the same address.
Device permissions
- Microphone: used only while you are recording a meeting or speaking to the assistant. You can turn it off in Settings at any time.
- Photos and files: used only to upload images and files you pick, such as mood board references.
- Notifications: used to tell you about tasks, mentions and finished transcripts. They're optional.
Children
The app is a business tool and is not meant for children under 13. We don't knowingly collect information from children. If you believe a child has given us information, contact us and we'll delete it.
Changes to this policy
If we change this policy, we'll update the effective date above. For significant changes we'll also tell you in the app or by email before they take effect.
